EXECUTIVE ASSISTANT / JUNIOR ARCHITECTURAL DESIGNER
Dual-Role Opportunity
Mark Cavagnero Associates is seeking a versatile professional for a unique dual role combining Executive Assistant support with Junior Architectural responsibilities. This position is ideal for an early-career architectural designer who is highly organized, comfortable supporting senior leadership, and interested in contributing to both firm administration and active project work. The role balances executive support, scheduling, coordination, and communication with junior-level architectural production, documentation, and presentation support.
Responsibilities
- Manage the Senior Partner’s calendar, including scheduling appointments, coordinating meetings, and ensuring adequate travel and preparation time.
- Partner with the Senior Partner to prioritize commitments, resolve scheduling conflicts, and optimize time management.
- Prepare materials and logistics for client meetings, ensuring all details are confirmed and organized in advance.
- Create, edit, format, and coordinate presentations, proposals, and other meeting materials for client presentations, internal meetings, and business development efforts.
- Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, and related logistics.
- Maintain Senior Partner calendars in Microsoft Outlook and schedule meetings as requested.
- Serve as a primary liaison between Senior Partner, clients, consultants, and internal project teams, maintaining professional and responsive communication.
- Organize, maintain, and preserve files, correspondence, records, and other business documents.
- Assist the Senior Partner with personal scheduling, appointment management, and follow-up on action items as needed.
- Prepare and submit expense reports, collect receipts, and track corporate credit card transactions.
- Serve as a backup to the Administrative Assistant by providing occasional reception coverage, phone support, visitor assistance, and meeting setup coordination as needed.
- Perform junior-level architectural design and project production work under the direction of project architects and senior staff.
- Assist with the preparation, development, and revision of architectural drawings, Revit models, diagrams, and design documentation.
- Support design studies, material and product research, presentation graphics, and other project-related documentation.
- Assist project teams with preparation of client presentations, design reviews, and internal project materials.
- Participate in project coordination and team meetings as appropriate and assist with follow-up documentation and assigned project tasks.
- Support special projects and perform additional executive, administrative, or junior architectural design duties as assigned.
Qualifications and Skills
- Bachelor’s degree in Architecture or a closely related field, or equivalent architectural design education/experience.
- Prior executive assistant or administrative support experience is preferred.
- Exceptional organizational skills with strong attention to detail and the ability to proactively manage competing priorities.
- Resourceful, solutions-oriented self-starter with the ability to work independently and manage multiple tasks in a fast-paced environment.
- Outstanding written and verbal communication skills with the ability to interact professionally and effectively with individuals at all levels.
- Proven ability to exercise discretion and maintain the highest level of confidentiality.
- Strong problem-solving skills and a proactive approach to anticipating needs and addressing challenges.
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Proficiency in Revit, Adobe Creative Suite, with familiarity with Rhino or similar design software preferred.
